I've been trying to hunt down info on holding chapter officer elections and
find nothing in the chapter handbook linked here:

Does anyone have any official info, or just wants to share their own
chapter process?

Hi, All—The Southeast Chapter understanding is that we can hold elections or appoint Board members, whichever meets our needs. We recently sent a message to our membership that opened nominations for Board positions. No nominations have been submitted, so we may need to appoint people to the roles.

The official election info is contained in the bylaws. Here are the
relevant sections:

*ARTICLE II – DIRECTORS  *
*Section 3 – Election of Directors *Directors who are officers or
chairmen of Standing Committees shall be elected in the annual election by
a plurality of votes cast in a ballot received by postal mail, email, or
fax. Each member of the Corporation in good standing shall be entitled to
one vote on each position open for election. Directors who are chairmen
of Regional Chapters shall be elected in a similar manner by members of
such Regions.
The President, along with half of the chairmen of the
Standing Committees and half the Regional Chapters shall be elected in
even-numbered years. The remaining officers, along with the remaining half
of the chairmen of the Standing Committees and the Regional Chapters, shall
be elected in odd-numbered years.

ARTICLE IV – OFFICERS AND COMMITTEE CHAIRMEN

  • Section 2 – Election *Active members in good standing shall be entitled
    to vote in the annual election by a ballot received by postal mail, email,
    or fax for officers and chairmen of the Standing Committees of the
    Corporation who shall hold their offices for two-year terms and shall
    exercise such powers and perform such duties as shall be determined from
    time to time by the Board of Directors. All officers and chairmen of
    Standing Committees of the Corporation shall hold office until their
    successors are chosen and qualified, or until their earlier resignation or
    removal.
    Any officer or chairman of a Standing Committee may be removed with cause
    at any time by a two-thirds affirmative vote of the entire Board of
    Directors. Any vacancy occurring in any office or chairman position of a
    Standing Committee of the Corporation shall be temporarily filled for the
    remaining term by the Board of Directors.

The language is not overly specific, so you can run the elections as you
like. The chapter chairs need to be elected, but the other offices within
your chapter aren't explicitly defined. You can nominate and elect or just
appoint volunteers to those positions. For the national elections, we've
switched entirely to electronic ballots. So the secretary sends notice to
all members to expect a ballot link on a particular date. The ballot
contains a short bio of each candidate and allows folks to write in a name
if they want. You could use Google Forms through your Chapter account to
create an anonymous ballot and then email it out to all your current
members. It will dump all the data into a spreadsheet, so you can easily
tally up the votes and report back to the membership. I think we give folks
about 2 weeks to vote.

I was especially curious to know if elections should be held at certain
times of the year, for example to align with the fiscal year. Looks like we
can determine that on a chapter by chapter basis.

Just an fyi: Potomac typically does elections in the fall. Kind of around Standards, as that is when the National Board would switch out as well. 📚 but other elections have happened at other times when required!

a regional chairman?

    Standing Committees of the Corporation shall hold office until their
    successors are chosen and qualified, or until their earlier resignation or

    Any officer or chairman of a Standing Committee may be removed with
    cause at any time by a two-thirds affirmative vote of the entire Board of
    Directors. Any vacancy occurring in any office or chairman position of a
    Standing Committee of the Corporation shall be temporarily filled for the
    remaining term by the Board of Directors.

The language is not overly specific, so you can run the elections as you
like. The chapter chairs need to be elected, but the other offices within
your chapter aren't explicitly defined. You can nominate and elect or just
appoint volunteers to those positions. For the national elections, we've
switched entirely to electronic ballots. So the secretary sends notice to
all members to expect a ballot link on a particular date. The ballot
contains a short bio of each candidate and allows folks to write in a name
if they want. You could use Google Forms through your Chapter account to
create an anonymous ballot and then email it out to all your current
members. It will dump all the data into a spreadsheet, so you can easily
tally up the votes and report back to the membership. I think we give folks
about 2 weeks to vote.

That's right - all the positions turn over at Standards, so your elections
just need to happen sometime before that. We typically hold the national
ones in July, but go with whatever works best for your chapter calendar.

@Kim: The term "Director" refers to all the officers named on the Board of
Directors for the corporation. Basically everyone who comes to the
bi-monthly meetings. From the bylaws:

*ARTICLE II – DIRECTORS *

*Section 2 – Number of Directors *

The Board of Directors shall consist of each officer of the Corporation,

the chairman of each Standing Committee, and the chairman of each Regional
Chapter, ex officio, or a representative for the chairman if the chairman
is unable to attend. The exact number of directors shall be fixed from time
to time by the Board of Directors. At no time shall there be less than
three directors.
